What personal data we collect and why we collect it

Contact forms

When visitors submit enquiries or send messages to us via the website we collect the data shown in the comments form, and also the visitor’s IP address to help spam prevention. If spam or otherwise unwanted messages are sent via our contact form, we will block that IP address.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Website Visitors

Like most website operators, Innobella Media collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. Innobella Media’s purpose in collecting non-personally identifying information is to better understand how Innobella Media’s visitors use its website. From time to time, Innobella Media may release non-personally-identifying information in the aggregate, e.g., by publishing a report on trends in the usage of its website.

Innobella Media also collects potentially personally-identifying information like Internet Protocol (IP) addresses for logged in users and for users leaving comments on innobellamedia.uk blogs/sites. Innobella Media only discloses logged in user and commenter IP addresses under the same circumstances that it uses and discloses personally-identifying information as described below, except that commenter IP addresses and email addresses are visible and disclosed to the administrators of the blog/site where the comment was left.

Google Analytics is a web analysis service provided by Google Inc. (“Google”). Google utilizes the Data collected to track and examine the use of this Application, to prepare reports on its activities and share them with other Google services.
Google may use the Data collected to contextualize and personalize the ads of its own advertising network.

Your data will be treated as strictly confidential and will only be shared with third parties as required in order to carry out services as requested by you.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Our website and web hosting services are located within the Amazon Web Services network, in regions within the European Union.

Your contact information

If you make contact with us to request a quotation for work on a project, or engage us as a contractor to work on a project for you, we will retain your contact information (Name, Street Address, Billing Address, email address(es), website address) (and if applicable, bank details) indefinitely unless you request that we delete them. We store this data in order to provide services to you as a customer and – if you have opted-in to receive such information – to inform you of news, offers and special events which may be of interest to you.

How we protect your data

Your data is held securely on our servers within the European Union. We use G Suite for email, documents, spreadsheets and other productivity tools including maintaining contact lists of customers. Our book-keeping and accountancy software, Xero, maintains a list of customer contact details and their Privacy Policy can be viewed at: https://www.xero.com/uk/about/terms/privacy/

Our access to both these systems protected by Two-Factor Authentication and is restricted to members of staff of Innobella Media Limited and our third-party accountancy contractor, Jonathan Ford & Co., Ltd.

What data breach procedures we have in place

  • We have in place a process to assess the likely risk to individuals as a result of a breach.
  • We know who is the relevant supervisory authority for our processing activities.
  • We have a process to notify the ICO of a breach within 72 hours of becoming aware of it, even if we do not have all the details yet.
